Sample Order Policy

1. Purpose & Scope

This Sample Order Policy applies to all sample quantity orders placed through the Powervello Limited website (“Website”). It forms part of our broader Terms & Conditions and is designed to serve genuine business customers evaluating our products for OEM, ODM, or wholesale purposes.

Powervello Limited is a B2B manufacturer. We do not sell to consumers. By submitting a sample request, you confirm that you are acting on behalf of a registered business and not as a private consumer.

2. What Constitutes a Sample Order

A “Sample Order” is a purchase of 1 unit of a product model, intended strictly for evaluation, testing, or internal approval purposes prior to a potential production order.

The standard sample quantity is 1 unit per model. If your engineering or marketing team requires more than 1 unit for specific parallel testing, this can be discussed upon request, but our default sample policy starts from 1 unit.

Orders that are clearly intended for resale or personal use, rather than project evaluation, do not qualify as sample orders and will be directed to our standard commercial ordering process.

3. How to Request Samples

You may submit a sample request through the Website by adding products to the sample cart and completing the request form. Submission of a sample request does not constitute a binding order or a contract.

Upon submission, you will receive an automated confirmation acknowledging receipt. This acknowledgement is not an order acceptance. A binding contract is only formed once Powervello issues a PayPal Invoice or proforma invoice to you, and you complete payment.

4. Buyer Qualification

To ensure we allocate engineering and production resources to genuine business partners, all sample requests are subject to a brief B2B qualification review. This may include verification of:

  • Company name and registration number
  • VAT or tax identification number
  • Business email address (generic free email domains may be requested to provide additional verification)
  • Intended use case or project context

Qualification is typically completed within 1–2 working days. Powervello reserves the right to decline a sample request at its sole discretion, without obligation to provide a reason.

5. Pricing & Invoice

Approved sample orders are invoiced via PayPal Invoice. Key terms:

  • Currency: EUR or USD, as quoted
  • Invoice validity: 7 days from issue date
  • Payment method: PayPal Invoice (credit/debit card payment via PayPal; no PayPal account required on your side)
  • Late or non-payment: If the invoice is not settled within 7 days, the sample request is automatically cancelled. A new request may be submitted if still required.

We do not currently support automated online checkout or instant payment on the Website for sample orders. This is a deliberate policy to ensure each sample request is reviewed and matched to a genuine business requirement.

6. Shipping & Handling

Sample orders are shipped from our China facility via DHL, FedEx, or UPS express.

Shipping cost is quoted separately on the PayPal Invoice, based on destination and weight.

Incoterms: DAP (Delivered at Place) unless otherwise agreed. The buyer is responsible for any import duties, taxes, or customs clearance fees in the destination country.

Typical lead time: 3–5 working days after payment confirmation, subject to courier transit time.

7. Sample Fee Deduction

To support genuine evaluation projects, the cost of the sample (excluding shipping) may be credited against a subsequent bulk OEM order, subject to the following conditions:

  • The bulk order must be placed within 90 days of sample delivery
  • The bulk order quantity must meet or exceed the specific model’s MOQ
  • Deduction is limited to the sample product value only; shipping and PayPal handling fees are non-deductible

This benefit is offered at Powervello’s discretion and will be confirmed in the bulk order quotation.

8. Returns & Refunds

Sample orders are sold for evaluation purposes and are not eligible for return or refund except in the case of a confirmed product defect or shipping error on our part.

In the event of a defect or error:

  • Notify us within 7 days of receiving the goods, with photo or video evidence
  • We will arrange a replacement or issue a refund at our discretion
  • Original packaging and complete accessories must be returned where applicable

As this is a B2B transaction, the statutory consumer right of withdrawal (Widerrufsrecht / herroepingsrecht) does not apply.

9. Customised & Private-Label Samples

For samples requiring custom logo printing, custom packaging, or modified specifications:

  • A customisation/tooling fee may apply, quoted separately
  • Lead time may extend to 7–10 working days
  • Customised samples are non-refundable once production has commenced
  • Customisation fees are not deductible against future bulk orders, though the standard sample product value remains deductible per Section 7

10. Regional Availability

Sample orders are currently available to business customers in Germany, the Netherlands, and other EU member states. We may extend sample service to other regions on a case-by-case basis—please contact our sales team for confirmation.

11. Our Right to Modify

Powervello reserves the right to update or modify this Sample Order Policy at any time. Changes take effect upon publication on the Website. Sample requests already submitted and invoiced prior to a policy change remain governed by the terms in effect at the time of invoice.
